Responsibilities
Provide clerical support to Commercial Director, including correspondence, travel, meeting planning
Coordinate and manage complex calendars, daily planner, expense reports, document generation and follow up, and general typing.
Administrative support to department, including assistance with slide/poster/manuscript preparation, distribution of meeting materials, coordination of meetings, taking meeting minutes
Work in a team-oriented environment with other department coordinators
Draft and edit documents and develop PowerPoint presentations as well as developing and handling of complex Excel Workbooks.
Responsible for administration, filing and archiving of critical department documents
Act as a coordinator of information and communication within the team
Manage and filter phone calls, mail and email, clarify/highlight required actions and responses
Welcome guests and business partners
Plan and organize activities, such as off-sites, company events, special occasions
Develop and refine administrative procedures using technology to streamline processes
Proactively pick up and independently drive and timely complete tasks/projects incl. support for marketing projects and sales projects
Support the budget process/handling contracts, signatures, invoices
Act as back-up for other assistants from time to time
Requirements
Education in Administration/Business or equivalent
Preferably 5-7 years of experience as Senior Assistant or Team Assistant supporting a commercial team
Experience working in an international environment (preferably within the pharmaceutical industry)
Native German; business fluent in English (verbal and written)
Experienced in Microsoft Office (Outlook, Word, Excel and PowerPoint)
Practical business-oriented solution approach
Well organized and able to prioritize and manage changing workload and meet deadlines
Service minded, team player and collaborative working style
Very strong in communication and able to deliver a high working level
Ability to build strong relationships with key stakeholders
Able to stay calm in stressful situations
Takes ownership of given responsibilities
Capable of working independently as well as in teams
